Terms of Service
Last Updated: November 20, 2025
1. Introduction
These Terms of Service (“Terms”) govern the use of the website and professional services offered by Tracy Owens CPA PC (“Company,” “we,” “our,” or “us”). By accessing our website or engaging our services, you (“Client,” “you”) agree to these Terms.
2. Professional Services
We provide accounting, tax preparation, advisory, and related professional services. The scope of work for any engagement is defined in a written engagement letter or digital service agreement delivered through our secure systems.
Nothing on this website constitutes legal, tax, or financial advice unless formally provided under an executed engagement.
3. Communication Tools (Including RingCentral)
We use various communication platforms to interact with clients, including but not limited to:
-
Email
-
Secure portals (e.g., ShareFile, Karbon, or similar systems)
-
Voice and text communication through RingCentral, a third-party Voice over IP (VoIP) service
By engaging us, you consent to the use of these platforms for business-related communications. We do not control RingCentral’s internal operations, and your use of the RingCentral communication channel is subject to RingCentral’s own Terms of Service and Privacy Policy, which can be reviewed on their website.
We do not grant RingCentral any rights to your financial data. RingCentral is used only for communication purposes (phone, voicemail, business texting, and call routing).
4. Client Responsibilities
You agree to:
-
Provide accurate and complete information
-
Respond promptly to requests for documents or clarification
-
Maintain the confidentiality of login credentials for any secure portals
-
Refrain from sending sensitive documents through unsecure channels unless explicitly instructed
5. Data Security
We maintain commercially reasonable administrative, physical, and technical safeguards to protect client data. When communicating through RingCentral, we rely on their encryption and security protocols for transmissions initiated through that platform.
6. Payment Terms
Fees are due as outlined in your engagement letter or invoice. Unpaid balances may result in delayed filings, halted work, or disengagement.
7. Limitations of Liability
To the fullest extent permitted by law, we are not liable for:
-
Interruptions or errors caused by third-party tools such as RingCentral
-
Damages arising from your failure to provide timely or accurate information
-
Losses resulting from misuse of login credentials
8. Third-Party Services
Our website may reference or integrate with third-party tools, including RingCentral. We do not endorse, warrant, or control third-party platforms and are not responsible for their availability or performance.
9. Termination
Either party may terminate the engagement in writing. Outstanding obligations, fees, and deliverables remain enforceable after termination.
10. Governing Law
These Terms are governed by the laws of the State of Texas.
11. Modifications
We reserve the right to update these Terms at any time. Continued use of our website or services after such changes constitutes acceptance.
